How to Write a Complaint Letter That Gets Action

  1. Send it to the right person. A complaint to the branch manager or the station house officer moves faster than one to a general address.
  2. Put the key number in the subject. Bill number, account number, tracking number or customer ID helps them find your case at once.
  3. Give facts in order. What you bought or reported, when, and what went wrong after that.
  4. Ask for one clear result. A replacement, a refund, a repair or a written reply, with a time limit such as seven days.
  5. Stay polite. Firm words work better than angry ones, and the letter may be read later by someone senior.
  6. Attach copies, not originals. Keep the original bills and receipts with you.

Tips for Writing a Short Complaint Letter

  • Keep a short complaint letter to three paragraphs: the problem, the details, and your request.
  • Mention dates, amounts and reference numbers exactly as they appear on your bill or receipt.
  • For a police complaint, ask for a copy or acknowledgement of your complaint and keep it safely.
  • For online fraud, call your bank and the national cyber crime helpline first, then write the letter.
  • Give a reasonable time limit for action, such as seven or ten days.
  • Do not use rude words or threats. Say calmly what you will do next if nothing happens.
  • Keep a copy of every letter and note the date you sent or handed it over.
