Resignation Letter Simple Format (Template)

A simple resignation letter has only a few parts. Write them in this order:

Tips for a Simple Short Resignation Letter

  • Tell your manager in person or on a call first, then hand over the letter the same day.
  • Always write the exact last working day. It avoids confusion about your notice period and final pay.
  • Keep the reason to one line, or leave it out. You do not have to explain your decision.
  • Do not complain about people or the company in the letter. It stays in your file.
  • Offer a handover, and mention company items you will return, such as the laptop and ID card.
  • Keep a copy of the letter, or the sent email, along with the date the company received it.
  • Ask for your relieving letter and experience letter in writing before your last day.

How do I write a short resignation letter?

Write the date, the HR manager or your manager as the receiver, and a subject like "Resignation from the post of [Designation]". In two or three lines, say you are resigning, give your last working day and offer a handover. End with "Yours faithfully" (or "Yours sincerely" if you used the manager's name) and your name.

Do I need to give a reason in a resignation letter?

No. A reason is optional. Many people simply write "due to personal reasons" or give no reason at all. Keep it polite either way.

Can I resign with immediate effect?

You can ask for it, but the company may still hold you to the notice period in your appointment letter. Many companies let you adjust the notice period against leave or pay. Check your contract or ask HR before you write the letter.

Is a resignation email enough, or do I need a printed letter?

Many companies accept a resignation email to your manager with HR in copy. Some ask for a signed printed letter as well. If you are not sure, send the email and also hand over a signed copy.

How long should a simple resignation letter be?

Between 50 and 120 words is enough. It needs only your decision, your last working day and a line about handover. Longer letters are fine but not required.
