Tips for Writing a College Leave Application

  • Find out who approves leave in your college: the principal, the HOD or your class coordinator. Address the letter to that person.
  • Apply before the leave whenever you can. If it was an emergency, submit the letter on the day you return.
  • Write the exact dates and number of days, so the attendance register can be corrected.
  • Attach proof when you have it: a doctor's certificate, an admit card or an event invitation.
  • Ask for duty leave, not ordinary leave, when you represent the college at an event.
  • Keep your reason honest and short. One or two lines is enough.
  • Get the letter signed or stamped as approved and keep a photo of it on your phone.

Questions people ask

How do I write a leave application for college?

Address it to the principal or HOD, write the date and a short subject, then give your name, course, roll number, reason and the dates of leave. End with "Thanking you, Yours obediently" and sign with your name, course and roll number.

Should I write the college leave letter to the principal or the HOD?

It depends on your college. Many colleges want leave letters addressed to the HOD or class coordinator for short leave, and to the principal for long leave. Ask your class coordinator if you are not sure.

Does leave count towards attendance in college?

Usually approved leave is still counted as absence, but it is recorded with a reason. Some colleges allow medical or duty leave to be considered when attendance falls short. The rules differ, so check with your college office.

Can I send a college leave application by email?

Yes, if your college or teacher accepts email. Put your name, course and the date in the subject, and keep the message short. Some colleges still ask for a signed paper copy later.

How do I write a half day leave application for college?

Mention the date, the time you need to leave, and the reason in one or two lines. Address it to the HOD or the teacher in charge, and say how you will cover the lectures or lab you miss.
