Dear Recipient Name,

I would like to apply for number of days day(s) of casual leave from start date to end date. I need this time to attend to some family work at home that cannot be done on a weekend.

Please treat this as casual leave, or as any other leave available to me under company policy. I will report to work as usual the day after.

How to Write a Leave Application in Office

  1. Pick the right leave type. Casual leave suits short personal work. Earned leave suits planned trips. Check your company's leave policy for the names and rules it uses.
  2. State the dates first. Put the first day, the last day and the total count of days in the opening two lines.
  3. Keep the reason short. "A personal reason" is fine for one day. Give a little more detail for long or sudden leave.
  4. Show your work is covered. Name the colleague who will handle urgent tasks and say what you will finish before you go.
  5. Apply early when you can. A week ahead for short leave, and three to four weeks ahead for a wedding or a long trip.

If you are unwell, use the sick leave application samples. For other leave types, see the main leave application page.

Tips for Writing a Leave Letter for Office

  • Speak to your manager before you send the letter. The written application then becomes a record, not a surprise.
  • Use the leave type your company uses, such as CL, EL or PL, so HR can deduct it from the right balance.
  • For a half day leave application, mention whether you need the first half or the second half and the time you will leave.
  • Never write a false reason. If you do not want to share details, "a personal reason" is enough for short leave.
  • Attach proof only when needed, such as a wedding card for marriage leave or a ticket for a long trip.
  • Set an automatic email reply and share your work status before any leave of three days or more.
  • Keep a copy of the approval mail. It helps if your leave balance or salary is questioned later.

Questions people ask

How do I write a leave application for office?

Address it to your manager or HR, add the date and a one line subject, and state the leave type and dates in the first two lines. Give a short reason, say who will handle your work, and end with "Yours sincerely" and your name, designation and employee ID.

What is the difference between casual leave and earned leave?

In most companies, casual leave is for short, unplanned personal work of one or two days. Earned leave builds up as you work and is used for longer planned breaks. The exact names and rules depend on your company's leave policy.

How do I write a half day leave application?

Write "Application for half day leave" in the subject, then say the date, which half you need and why. Mention that urgent work will be done before you leave. Keep it under 100 words.

What reason can I give for one day leave from office?

You can write "a personal reason" or "urgent family work". For a bank visit, a document or a child's school meeting, it is fine to say so in one line. A short honest reason is better than a long story.

Can I apply for leave by email instead of a letter?

Yes. Most companies accept leave requests by email or through an HR portal. Keep the subject clear, copy HR if your company asks for it, and save the reply as proof of approval.
