Dear HR Team,

I am Your Name, former Designation in the Department team. My last working day was Last Working Day. I am writing to ask for my experience letter, as it did not come with my full and final settlement.

A background verification agency working for my new employer needs this letter, so it would help me a lot if you could share it this week. A soft copy with the authorised signature and company seal will be enough for now.

Please tell me if any form or document is still pending from my side, and I will send it the same day. Thank you for your help.

Dear Sir/Madam,

I received my experience letter on date received, and I thank you for issuing it promptly. However, I noticed two errors in it. My designation is shown as wrong designation instead of Designation, and my joining date is written as wrong date instead of start date.

My new employer will verify these details, so I request you to issue a corrected letter. I have attached copies of my appointment letter and promotion letter, which show the correct details. I am also returning the original letter so that it can be cancelled.

Please send the corrected letter to Email or to my address above. Thank you for your help in this matter.

Experience Letter, Experience Certificate and Relieving Letter

  • Experience letter and experience certificate mean the same thing in most offices. Both confirm the post, period of work and conduct.
  • A relieving letter confirms that your resignation was accepted and you were released from duty on a set date. See the relieving letter page.
  • A service certificate is an experience letter for someone still working, usually needed for a visa or loan.

Many companies give the relieving letter and experience letter together after full and final settlement. If you are still serving notice, start with your resignation letter.

Tips for an Experience Letter and Experience Certificate Request

  • Check the spelling of the name, employee ID, designation and dates before signing. Background checks compare these with payroll records.
  • An experience letter from a company must be on letterhead, signed by an authorised person and stamped with the company seal.
  • Keep the conduct line honest and simple. "His/Her conduct was good" is enough if there is nothing special to add.
  • Employees should ask for the experience letter in writing before or on the last working day, and keep a copy of the request.
  • If the company delays, send a polite email reminder after a week, then a written application to the HR head.
  • Never use a fake experience letter. Most employers verify letters with the old company, and a fake one can lead to job loss or legal trouble.
  • Keep scanned copies of all your experience letters in one folder. You will need them for every job change.

Questions people ask

Who issues an experience letter?

The employer issues it, usually through the HR department or the head of the office. In a school it is signed by the principal. It should be on letterhead with a signature and seal.

How do I write an application for experience certificate?

Address it to the HR manager or principal. Give your designation, department, employee ID and dates of service, say why you need the certificate, and ask for it by a certain date. Keep it under 150 words.

Is a company bound to give an experience letter?

Most companies give one as standard practice, and many state it in their HR policy. Whether it is required by law depends on the state rules and type of establishment, so check your appointment letter and company policy.

What is the difference between a work experience letter and a relieving letter?

An experience letter describes your role, period and conduct. A relieving letter only confirms that you were released from duty after resignation. New employers often ask for both.

Can an intern get an experience letter?

Yes. Companies usually give an internship completion or internship experience letter with the dates, project and a short remark on performance.
