Opening Lines for a Letter of Appreciation
Pick one and add the specific reason.
- I am writing to thank you for [reason].
- I want to express my sincere appreciation for [reason].
- On behalf of the whole team, thank you for [reason].
- Please accept my heartfelt thanks for [reason].
- I would like to recognise the excellent work you did on [reason].
- Our family is deeply grateful for [reason].
Tips for Writing an Appreciation Letter
- Name one specific thing the person did. "You fixed the billing error in two hours" means more than "good work".
- Say what difference it made: a happy client, a deadline met, a child's confidence.
- Send it soon after the event, while it is fresh.
- Keep a short thank you letter to 50 to 100 words. A formal letter of appreciation can be up to 200 words.
- In an office, copy HR if you want the letter kept in the employee's file.
- Do not mix the thanks with new requests or criticism in the same letter.
Questions people ask
What is an appreciation letter?
It is a letter that formally thanks a person or group for their work, help or behaviour. Managers write them to employees, students and parents write them to teachers, and businesses write them to clients and suppliers.
What is the difference between a thank you letter and a letter of appreciation?
A thank you letter is usually for a specific favour or gift. A letter of appreciation recognises effort or quality over a period, such as a year of good performance. In practice the two overlap, and the format is the same.
How long should an appreciation letter be?
Most are 100 to 200 words in two or three short paragraphs. A short thank you note or email can be just a few lines.
How do I write a thank you letter for a teacher?
Address the teacher politely, say what they taught you, give one example of how they helped, and end with a warm line of thanks. Sign it with your name and class.
Can an appreciation letter be sent by email?
Yes. Email is common in offices. For a formal letter of appreciation that goes into an employee's record, a signed letter on letterhead is better.
