How to Ask for a Salary Increment
- Pick the right time. Just before the appraisal cycle, after a big result, or after taking on new work.
- List your results. Write two or three facts, such as targets met, projects finished or people trained.
- Ask, do not demand. Say "I request a review of my salary", not "I need a raise or I will leave".
- Leave the number for the meeting. If you mention a figure, keep it reasonable and based on similar roles.
- Follow up once. If there is no reply in two weeks, send a short reminder.
If you only want to thank a colleague or team for good work, see the appreciation letter page. For other requests at work, see request letter.
Tips for an Increment Letter or Appraisal Letter
- Keep the request focused on your work, not on personal needs. Results are the strongest reason for an increment.
- Send the application to your reporting manager first, and copy HR only if your company process asks for it.
- Never compare your salary with a named colleague. Talk about your own role and the market instead.
- Employers should state the effective date and the revised salary clearly, and attach the full salary structure.
- A promotion letter should mention the new designation, reporting manager and new responsibilities, not just the pay.
- Increment rules, timing and percentages depend on company policy, so check your HR handbook before writing.
- Keep every increment, appraisal and promotion letter safely. You may need them for loans, visas and future job changes.
Questions people ask
What is an appraisal letter?
An appraisal letter is issued by the employer after a performance review. It shares the employee's rating, feedback and the revised salary or bonus, if any. It is usually marked confidential.
How do I write an application for salary increment?
Address it to your manager or HR. Mention your designation and how long you have worked there, give two or three achievements, and politely ask for a salary review. Keep it under 200 words and professional in tone.
What is the difference between an increment letter and a promotion letter?
An increment letter raises the salary in the same post. A promotion letter moves the employee to a higher post, usually with a raise, and lists the new duties and reporting line.
When should I ask for a salary increase?
Good times are a month before the appraisal cycle, after completing a year, after a major achievement, or when your duties have grown. Avoid asking during a difficult period for the company.
Should I mention the amount in a salary increment letter?
It is usually better to ask for a review and discuss the figure in a meeting. If your company asks for a number, give a reasonable one based on similar roles and your results.
